Job Description:

The Receptionist serves as the first point of contact for customers, vendors, and visitors, representing the public face of Kansas Asphalt. This individual is often the first person customers see or the first voice they hear over the phone. Because of this, it is essential that the Receptionist demonstrates exceptional professionalism and always delivers outstanding customer service, in alignment with Kansas Asphalt’s core values.

Essential Job Duties & Responsibilities:

  • Welcomes visitors by greeting them, in person or on the telephone, answering or referring to inquiries with a friendly and helpful attitude.
  • Handles incoming calls, routes them appropriately, and sends accurate, detailed messages to the intended employee.
  • Receives bid requests by phone using the invitation-to-bid form and forwards them to the Project Coordinator.
  • Coordinates schedules for various employees by planning on and offsite meetings, and by managing conference room reservations for meetings, interviews, onboardings, and more.
  • Handles incoming and outgoing mail and packages, occasionally delivering mail to the post office when needed.
  • Maintains inventory for the office by ordering and stocking the various supplies.
  • Keeps the lobby, break room, and conference areas clean, organized, and well-stocked.
  • Updates and distributes a company and office contact list.
  • Assists other departments (Construction Division, Construction Management Division, HR, and Accounting) as needed.

Qualifications (Experience, Education & Certifications, Key Attributes):

Job Qualifications:

  • Tech-savvy with understanding of Microsoft Office software such as Outlook, Excel, etc. and the ability to quickly learn to use new software and office equipment.
  • Reliable, punctual, and able to follow directions well.
  • Strong written and verbal communication, with excellent listening skills.
  • Positive, helpful, and customer-service oriented attitude.
  • Detail-oriented, observant, and able to manage time and tasks efficiently.
